Schedule: Full-time, with occasional additional hours during peak season and system transitions
Compensation: $30/hour, with benefits after the probationary period

ABOUT US

Medix Holdings Ltd. is a BC-owned company that has been delivering emergency medical and safety services since 2010. From our head office in Duncan, we support clients across British Columbia and beyond through industrial and event medical services, wildfire medical support, patient transfer services, and provincial and national disaster and emergency operations. We also operate retail first aid and safety supply stores, along with AED management and safety consulting services.

With a team of roughly 75 staff, we work where it matters most: on industrial sites, at large-scale events, on the fire line, in communities responding to emergencies, and behind the counter supplying businesses and the public. Behind all of it is an administrative team that keeps our people paid, our clients invoiced, and our operations running smoothly. We're looking for an experienced bookkeeper to join that team and keep our financial foundation as steady as the work we do in the field.

THE ROLE

This is a full-time, in-house position responsible for all primary bookkeeping, payroll, and invoicing for Medix Holdings and its divisions. You'll own the flow from completed work order to issued invoice to collected payment, manage accounts payable, and direct administrative support during high-volume periods. The role works closely with our bookings, operations, and administrative teams and follows our biweekly payroll and vendor payment cycles.

KEY RESPONSIBILITIES

- Full-cycle bookkeeping: data entry, bank and credit card reconciliations, and month-end close
- Prepare and process biweekly payroll for approximately 75 staff in Sage, including source deductions (CPP, EI, income tax) and CRA remittances
- Issue Records of Employment and prepare year-end T4s
- Issue all company invoicing, including field services, restock programs, and retail accounts
- Review completed work orders for staff and client signatures and maintain the work order log used for time card review
- Reconcile scheduled services against issued invoices to ensure nothing goes unbilled
- Coordinate administrative support for invoicing during peak periods
- Manage accounts payable: vendor bills, scheduled payment runs, and supplier relationships
- Manage accounts receivable: collections follow-up, aging reports, deposits, and payment posting
- Prepare and remit GST/PST filings
- Maintain organized financial records and support year-end preparation with our accountant
- Provide regular financial reporting to ownership
- Lead our transition from QuickBooks Online to Sage in January 2027

WHAT WE'RE LOOKING FOR

- 3+ years of full-cycle bookkeeping experience, ideally in a multi-division or service-based business
- Proven payroll experience, including source deductions, remittances, ROEs, and T4s
- High-volume invoicing experience
- Strong working knowledge of QuickBooks Online and Sage payroll
- Familiarity with GST/PST requirements in BC
- Highly organized, detail-oriented, and comfortable working independently
- Clear communicator who can work across teams and direct support staff
- Bookkeeping certificate or related post-secondary training an asset; Payroll Compliance Practitioner (PCP) designation an asset
- Experience with software migrations an asset

WHAT WE OFFER

- $30/hour
- Benefits after the probationary period
- Full-time, stable, in-house position
- A growing BC company doing meaningful work in emergency medical, disaster response, and workplace safety services
